Position Information: UC Riverside's Housing Services is recruiting for a Housing Operations Assistant. The full salary range for the Housing Operations Assistant is $28.44 - $40.76 per hour. However, the expected pay scale for this position is up to $31.18 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.
The Housing Operations Assistant (HOA) leads a team of student support staff and maintains the daily business workflow at the Resident Services Office of housing residential communities: serves as a resource for residents, staff, conference guests and visitors by phone, electronically and in-person. May work in a residential community that's under a Public-Private Partnership working closely with a third party (non-UCR) management company or a community with a high presence of Riverside Community College students living with us and liaising with RCCD staff as part of our inter-segmental housing agreement. Provides information and accurate referrals to residents, staff, conference guests, external service providers, and other strategic partners regarding Housing Services policies and processes, as well as other campus services. Assists Housing Operations Managers (HOMs) in providing oversight for resident and guest services, residential resources, facility conditions, access management, and repair needs. Provides support for student staff recruitment, development and performance management. Assists with the implementation of resident recruitment and retention activities, general outreach programs, and move-in/move-out events. Functions as a critical liaison for all residential community service providers, conference guests, the general campus community, and outside vendors. Provides administrative support for the HOMs.

Bachelor's degree or education equivalent to college level coursework in a related field.

Proficient knowledge and ability using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Knowledge of and/or experience with program coordination, event planning/coordination, outreach activities, etc. Ability to collaborate and/or serve as liaison or control point between the department and internal/external service providers.

Client Engagement: Leads daily operations of the Resident Services Office (RSO) of housing residential communities and provides direction to the student support staff. Ensures the appropriate application and communication (verbal and written) of established Housing policies and procedures of the residential community for prospective residents, current residents including UCR and RCC students, family members, faculty and staff including RCCD and third-party (non-UCR) management staff, community guests, and service providers. Coordinates the relocation and check-in/check-out processes and procedures for all residents. Responsible for the effective and efficient distribution of all postal mail and packages handled by the RSO. Accurately maintains all residential records including adhering to the appropriate level of confidentiality. Researches and resolves various common residential issues, including but not limited to access, repair needs, packages, dining questions, parking, lost and found items. Maintain all housing operations procedure manuals, forms and master calendar. Works closely with the HOMs, Auxiliary Services Facilities, Dining & Hospitality Services, Housing Administration, Residential Education, RCCD and third-party management staff and on-site organizers for event and conference needs. Delivers a high level of service for event/conference guests and organizers. Provides logistical and staffing support for the summer housing program. Inspect facilities, coordinate set-ups, and other tasks for event and conference groups. Receive, respond and follow through on guests inquiries and concerns relating to room assignments and set-ups, guest services, reception/registration, information directory, etc.

Facility Resource Oversight: Ensures frequent inventory and condition checks of facility resources such as assigned area furniture and fixtures, A/V, computer and office equipment, departmental vehicles. Responsible for regular inspections, condition reports and recommendations of interior and exterior facility conditions. Create, receive, refer and monitor work order requests. Notify HOMs of any trends or discrepancies and assist with follow-up on outstanding work orders. Coordinates residential facility access, conducts regular inventory of keys and card access. Interprets and enforces access control policies and procedures for the community. Serves as liaison and access control point between Housing Services and service providers, including but not limited to Residential Education; maintenance and custodial; pest control and other external vendors. Participates in move in/out planning and coordination processes.

Operational Administration: Coordinates student staff recruitment programs, development activities, work schedules, and performance management. Provides direct administrative support to the HOMs, including assisting with the development, interpretation, and administration of objectives, processes, resources and communication that effectively responds to changing resident needs. Apprises the HOMs of needs and potential issues related to residential operations and proposes viable, fiscally-responsible solutions. Independently identifies effective systems and methods for collecting and communicating regularly-occurring and ad hoc data to management representatives.

Provides back-up to other RSOs and volunteers general support to any Housing Services office area, as necessary and possible. Assists the HOMs with the reviews of the building budget, including participating in the planning of the annual budget, participating in monthly reviews and adjustments, and research and proposal of new initiatives. Performs manual billing of routine resident or guest fees and additional ad hoc charges in the campus' student information system. Other duties or projects as assigned within the scope of the position.
