Basic Function and Responsibilities:
At the direction of the Trades School Grant Project Manager, provide program and office support services to the Grant Manager, as well as to faculty and staff at Oakton participating in the program. Exercise independent judgment in the use of confidential information based on established college policies and procedures. The purpose of the Trades School Grant is to provide access and strengthen pathways to careers in the "trades" for young adults, particularly those in underserved communities. The AI Pathfinders program will be a pilot partnership between Oakton College, Evanston Township High School, and local employers to create curriculum pathways, career exploration, and work-based learning opportunities in AI for ETHS students. This is a grant-funded position through the Illinois Community College Board FY23 Trades School Grant Program.
Characteristic Duties and Responsibilities:
Provide program support to the AI Pathfinders Grants Manager as well as to Oakton administrators, faculty, and staff supporting this project.
Maintain records and files, both electronic and paper, ensuring they are accurate and up-to-date.
Compile, analyze, prepare and distribute reports, correspondence, and other documents as needed.
Assist with the purchasing of materials, inventory, distribution, etc. as related to the "AI Pathfinders" Trades School Grant activities.
Assist with budget tracking and processing financial transactions.
Assist with event planning and coordination, including scheduling and logistical support.
Assist with outreach and marketing activities to community stakeholders by drafting, sending, and responding to emails related to the "AI Pathfinders" Trades School Grant activities.
Schedule and manage appointments, meetings, and conferences.
Greet and assist visitors, answer phone calls, and respond to emails in a timely manner.
Provide excellent customer service to all stakeholders.
Perform other job-related duties as.
Job Requirements:
Qualifications and Working Conditions:
An Associate Degree or an equivalent combination of training and experience from which similar ability can be acquired is required.
One-year general program and office support experience is required.
Ability to work in a multi-ethnic and multi-cultural environment with students, faculty, and staff.
Ability to utilize a keyboard to enter, retrieve and manipulate data is required.
Advanced word processing (Microsoft Word preferred) and intermediate spreadsheet application (Microsoft Excel and Google Sheets) skills are required.
Physical Demands:
Light lifting up to 10 lbs. and light carrying up to 10 lbs. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending and stooping. Mobility to move from building to building on-Campus and to visit off-Campus entities. Work is performed in a general office environment and is sedentary in nature. Little or no exposure to adverse working conditions.

Functional supervision is received from the Trades School Grant Project Manager.

Salary: $40,812
Hours: Monday - Friday 8:00 am - 4:45 pm
This is a temporary grant position and continued employment, is based on the successful renewal of the grant.
Based on the needs of the college and with Administrator approval, some positions at the college may have hybrid schedule options available after 30 working days.
