Summary of Position: | Provide responsible, independent secretarial support within established departmental policies and procedures for the Athletic Department. | |

Required Education: | Satisfactory completion of two years of college or equivalent such as a business/technical schooling or two years of relevant work experience. | |
Required Work Experience: | Two years full time work experience or equivalent in an office setting with public contact and extensive customer service. Demonstrated experience with Microsoft Office Products, Adobe, virtual meeting platforms ( i.e. Zoom and/or Teams) and excellent oral and written communication skill. | |

Additional Education/Experiences to be Considered: | Experience working with college aged students and or student athletes is preferred. Knowledge and experience with different sports would be ideal. | |
Essential Duties/Responsibilities: | Answer or refer inquiries from students, faculty, staff, and the general public regarding established policies and procedures, events and other happenings in our department.
Assist Athletic Director with travel arrangements, calendar management, and daily correspondence with staff, alumni and athletic donors.
Independently answer routine correspondence. Draft non-routine correspondence for review and approval of supervisor.
Research policy and procedure information as background for incoming and outgoing communications
Establish and maintain physical and electronic filing and record-keeping systems.
Assist Coaches with post season travel arrangements - including transportation, housing and meals.
Arrange post-season and tournament housing and food arrangements for incoming teams, coaches and officials.
Assisting staff administrative needs such as golf outing, welcome back events, hall of fame or other special events sponsored by Athletics.
Assist with Interviewing, recommending for hire, training and directing student employees.
Submit and monitor travel receipts on behalf of the staff.
Assists with staff hiring in Page up, arranging interview committees, schedules and candidate travel and itineraries.
Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
Support, promote, and develop University student enrollment and retention initiatives.
Any other duties assigned within the position classification area.
Maintain the confidentiality of designated information.
Perform any/all duties as defined in the Secretary, Level 1 and Level 2 position descriptions. | |
Marginal Duties/Responsibilities: | Provide back up assistance for other staff members in the athletic department as deemed necessary. | |
Skills and Abilities: | Communicate effectively with a variety of students, faculty, staff, and visitors in a variety of situations.
Input, retrieve, download, merge and output information from software programs and systems.
Interpret student/ staff and guest problems and direct them to the proper resource.
Handle confidential matters.
Work effectively as a member of a team and demonstrate effective interpersonal skills working with others.
Perform basic mathematical operations with accuracy.
Plan, organize and make sound judgments and decisions.
Use computer software such as word processing, spreadsheets, and database.
Operate a variety of office machines and equipment such as computer, facsimile, multi-line telephone, copier, and calculator to include making minor adjustments (requires some mechanical aptitude).
Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information.
Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds. | |
