Manage the initial student user experience in the Academic Programs and Student Services Office.
Assist visitors, students, prospective students, faculty, and staff that visit the suite. Check in students for their appointments with Undergraduate Academic Advisors and Graduate program staff. Manage the undergrad@slu.edu email account and answer the business schools published main phone line; answer general questions or direct inquiries to appropriate person/department. Hire, train, schedule work, and approve timesheets for student workers & Grad Assistants (2-3) Ensure the space is well-maintained and stocked for the Chaifetz Undergraduate Advising and Graduate Business Programs teams. Submit FAMIS requests, update bulletin board and signage in glass information cases in suite and hallway as needed, including updating with annual award winners acknowledged on plaques. Approve student flyers and share posting guidelines for CSB bulletin boards. Operate CSB lost and found. Duties require general knowledge of academic programs, registrar forms and common student-focused processes.
Support Associate Dean with recruitment events throughout the year

Duties typically include room reservations, creating sign-in sheets, and writing thank you cards to attendees. Arrange catering for Preview Day with focus on Business. Update and print prospective undergraduate program/organizations marketing collateral and organize into folders. Prepare and maintain portable stock of marketing materials and other items transported to prospective student events. Maintain supply of CSB tablecloths and loan them to departments as needed. Collect and interpret yield data to gauge success of recruitment activities to continuously improve the efforts.
Support Associate Dean for Undergraduate Education with current student events
· Pre-Commencement: Create ceremony program of events (includes coordination with faculty and staff throughout the school). Communicate event details and manage attendee RSVPs, gym set-up, creation of graduate name cards.
· Beta Gamma Sigma selection of qualifying students, tapping and induction ceremony (including tracking of RSVPs and troubleshooting student issues with BGS registration site). Coordinate the BGS members selection of the Chaifetz Outstanding Teacher of the Year.
· Coordinate Fall Welcome Week deliverables for new students
· Coordinate with Deans Office and academic departments on CSB Outstanding Senior Award winners and awards
Reserve rooms and arrange catering for events, if needed. Work with corresponding departments (e.g. academic departments, Honors, MARCOM and Event Services). Gather and interpret data to continuously improve event management.
Manage mailing campaigns for the Dean and Associate Dean
· Deans list mailing (2)

· Holiday Postcard to next falls admitted students.
· Spring Postcard to the fall admitted students.
· Probation / Dismissal letters (2 -3), including organizing data capture for accurate student evaluation
· Pre-Commencement information mailing (ceremony, cap & gown, and diploma information) to students on Grad application report
Work with CSB Marketing to create postcards and with Associate Dean and Admissions for mailing lists.
Support the Undergraduate Academic Advising and Graduate Business Programs Teams
· Support the Associate Deans by updating course schedules and classroom assignments in Courseleaf CLSS/Banner
· Direct student inquiries to appropriate staff
· Provide clerical support for Grad Business orientations (3)
· Reserve rooms and assist with catering as needed (3-9)
Provide First-Level Financial Coordinator/Procurement Support Undergraduate and Graduate Student Support Services Team
· Custodial responsibility of team P-Card
· Assist with filing of Concur Expense Reports
· Support miscellaneous purchases such as office supplies and ordering business cards for Associate Dean, Graduate Program Director, and Graduate program Staff.
· Review budget vs. actual expenses in Workday Financials
Update UG Program book
Work with Associate Dean for Undergraduate Education to update a printed Undergraduate Programs Book each year using InDesign software. Duties include reviewing the online course catalog and updating academic program requirements and course descriptions. Secure bids from printers.
Manage student records
· Maintain remaining UG student paper files. (Student records have moved from paper to online. The remaining paper files must be maintained following the universitys record retention guidelines and destroyed in a secure manner when appropriate.)
· Update Business / Accounting Scholars Google Doc (2).
· Upload and properly route Probation / Dismissal letters in AppXtender.
