The Assistant Dean of Academic and CPS Global Operations reports directly to the Senior Associate Dean of Academic Affairs f and provides high-level academic operations leadership. Responsible for planning, implementing, directing, and administering all aspects of the academic operations function, and develops strategies that support College-wide process design changes and enhancements. Collaborates with CPS associate and assistant deans, directors, coordinators, advisors, and various units and university departments, including academic governance and curriculum committees, Human Resources, Financial Aid, Enrollment Management, and the Offices of the Chancellor, the General Counsel, and the Registrar.
Responsibilities and areas of focus include:
Lead the academic operations teams in the implementation of the philosophy and policies by managing and improving administrative practices and procedures that create the highest level of efficiency possible.
Support strategic academic operations planning efforts and annual planning.
Oversee academic catalog and calendaring efforts to support new program offerings, curriculum innovation and lifecycle, and migration of programs to executive delivery and varying instructional formats across the Global Network.
In close collaboration with the Senior Director of Academic Operations and other leaders in the Academic Operations, oversee implementation of regular review and revision of operational processes and policies in alignment with state/federal regulations.
Ensure compliance with employment laws and practices and the collective bargaining agreement.
MINIMUM QUALIFICATIONS
Knowledge and skills required for this position are normally obtained through a Master's degree and Eight to ten years of preferably with experience in a higher education setting. Strong leadership and effective communication skills. Effective interpersonal skills and the ability to relate to diverse constituencies. Effective administrative, supervisory, and organizational skills and evidence of excellent decision-making skills. Project management experience and a demonstrated ability to manage rapidly evolving priorities. Experience with the study, analysis, evaluation, development, or improvement of administrative policies, procedures, practices, or programs. Working knowledge of budget policies and procedures. Ability to compile, write, and present reports related to program or administrative matters. Proven ability to prioritize tasks effectively and adapt easily to changing or conflicting priorities and utilize critical thinking and organization skills. Experience with union contracts, faculty, and student data. Ability to work collaboratively with faculty and university-wide administrators, engaging people to move to consensus. Ability to process and handle confidential faculty, personnel, and salary information with the utmost professionalism. Functional knowledge of Banner or similar ERP or Salesforce a plus.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
1) Strategic planning and leadership
Actively partner and closely collaborate with key constituents in the College and throughout the University to leverage opportunities and goals.
Propose timelines and frameworks for new initiatives identified by the Senior Associate Dean of Academic Affairs. Support these initiatives from planning phases through implementation; work closely with the Senior Associate Dean's leadership team to ensure consistent and timely messaging and promote steady progress toward strategic goals.
Oversee the identification and evaluation of program opportunities within or beyond the Academic Operations' unit.
Closely collaborate with HR and the Senior Associate Dean for Academic Affairs on recommendations for organizational change and restructuring, including guidelines for implementation and evaluation.
Oversees, directs and manages all Academic Operations functions for the College.
In close collaboration with HR and the Senior Associate Dean of Academic Affairs, determine appropriate department staffing levels and develops and implements metrics to support staffing recommendations, balancing expectations of support with budget and efficiency considerations.
2) Administrative Leadership:
Facilitate and successfully implement changes when needed through coaching and effective role modeling.
Seamlessly integrate innovative programs and projects that contribute to stakeholder satisfaction and budgetary prudence including conducting accurate, on-going assessment and evaluation of the effectiveness of such programs.
Partners with senior leadership to ensure conditions that support diversity, equity and inclusion and in compliance with applicable laws, rules and regulations.
Oversee the Academic Operations unit in developing proactive, data-driven approaches to increasing administrative efficiency and service in course scheduling and teaching assignments.
Oversee delivery of student data reporting and analysis, transfer credit processing, part-time faculty union, and curriculum change processes. Partnering with the Associate Deans and key stakeholders to recommend, develop, and implement any upgrades, modifications, or additional technology or processes necessary to support student registration, student record management, and instructor scheduling.
3) Program and Curriculum Change Operations and Management: Monitor curricular and program change proposals through the academic governance process and ensure college participation in comprehensive cross-functional implementation of changes, including working collaboratively with enrollment, advising, compliance, and the Registrar's office to ensure that all curriculum publications are prepared accurately and timely (course offerings/schedules and syllabi).
