RESPONSIBILITIES
Reception
This person is stationed at all times at the front desk which is on the fourth floor. They will greet, welcome, and direct all visitors.
They will field all phone calls to the school.
Assist staff and students.
Processes incoming mail, packages, and deliveries helping the facilitates team.
Builds a positive, safe, and orderly environment by following procedures.
Administrative Institutional Support
Assist the transportation coordinator with bus arrival and dismissal, including communicating between families, bus companies, and parents about transportation to/from the school.
Responsible for documenting student arrival and dismissal, in coordination with academic and clinical staff, responsible for following protocol and contacting parents or guardians when a student has not arrived in a timely manner.
Work on special projects for the Operations and Human Resources team.
Assist in functions such as open houses, school tours, professional development workshops, fundraising events, Sunshine Committee activities, and other school-related activities.
Assist in the development and implementation of the school’s data management and filing systems as directed by other Operations and Human Resources staff.
Maintain database and spreadsheets as needed.
Environment Building/Space and Equipment Oversight
Provides strong “leadership by example” for the positive, professional and welcoming lobby environment, creating a strong positive impression for all who enter our space.
Oversees presentation and cleanliness of lobby area and literature displays.
Orders office supplies, track all orders through receipt and delivery to proper staff, keep record of those orders.
Orders employee lounge supplies as necessary, as well as track all orders.
Supports facilities team to maintain staff lounge, supply room, and reception area.
Provides oversight for presentation of other shared spaces throughout the school.
Assist staff with mailing letters, documents and other items.
Maintains and tracks ordering expenses, monthly sharing of updated spreadsheet and receipts with the finance staff.
Additional Responsibilities
Help teachers and staff with day to day issues at the lower school.
Distribute and organize school lunches, assist parents with the process to order lunches and liaise with the lunch vendor.
Ensure the seamless delivery of programs for our students and staff. This includes, but is not limited to, participating in all training and meetings as outlined in the Employee Handbook.
Communicate with all families, providers, and staff via appropriate channels.
Required Qualifications and Experience
Bachelor’s degree required, appropriate experience may be substituted.
Hours: 8:00 am to 4:00 pm, on-time arrival required.

Polished, positive, and alert personal presentation.

Ability to assess a situation and understand how to direct a concern, question, or person, and when and how to involve a colleague in making a judgment call.
At least a year of prior administrative experience, preferably in an externally facing role in a school environment.
Eye for presentation of space (physical environment).
Desire to be around children and ability to interact appropriately with people of all ages and development levels.
Passion for relationship building.
Proficiency in GSuite products, in particular Google Drive.
Detail oriented with exceptional follow through.

Work Environment: This job operates in a school setting. School is located on the 4th floor of the building. This role requires regular walking, including taking stairs, to various locations around the school (two campuses).
Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, and stooping all day. The employee must be able to lift and/or move items up to 30 pounds. During fire drills, employee will need to use the stairs to go to ground level from the 4th floor. Typing required for composing emails and writing reports.
Position Type and Expected Hours of Work: This is a full time position in an educational facility which is open 8 hours a day. Employee will work 12 months out of the year according to the academic calendar (this position does not have summers off).
