Seeking an organized, thoughtful, communicative, and detail-oriented Budget & Events Operations Specialist for the Northeastern University Center for Entrepreneurship Education (NUCEE). Entrepreneurs Club (E-Club) (https://www.nuentrepreneursclub.com/): The largest student-led organization on campus. E-Club hosts programming such as workshops, pitch competitions, and an executive speaker series to provide introductory entrepreneurship material to students as they begin their innovation journey
The McCarthy(s) Venture Mentoring Network (VMN) (https://vmn.sites.northeastern.edu/): The resource available to all Northeastern ventures that pairs them with high-quality, experienced mentors
Mosaic (https://entrepreneurship.northeastern.edu/mosaic): A coalition of student-led organizations that empowers entrepreneurial builders by lowering the barrier of entry to entrepreneurship, creating community, and providing resources across the global Northeastern network
NUCEE doesn't just develop ventures, but exists to help Northeastern students and alumni develop as entrepreneurial doers, leaders, and thinkers. We provide tools and space for community members to become comfortable in the innovation space as they take their ideas from concept to launch.
The Budget & Events Operations Specialist is instrumental in creating an efficient and effective support ecosystem for our community members. We are looking for a very organized individual who enjoys interacting with undergraduate and graduate students, working with others, and loves a good spreadsheet. The Budget & Events Operations Specialist will be responsible for event planning, logistics, and execution, as well as budget planning and expense monitoring for various NUCEE activity areas. They will work with an array of NUCEE faculty and staff to ensure high quality operation of all NUCEE programing, but will be closely tied to the Mosaic team.
Responsibilities include, but are not limited to:
Financial and Budget Support:
Supporting the preparation of full year-in-advance budget planning across all NUCEE affiliated groups and organizations (Approximately $1M+ budget)
Expense tracking and accounting against the budget for NUCEE as well as its underlying organizations such as Mosaic, VMN, and the student organizations among others
Detailed, accurate, and timely reporting for both revenue (from endowments and expendable gifts) and expenses, on a monthly basis
Allocating funds to Banner accounts established for different donor funds.
Monitoring and processing receipts for personal and University credit card procurements
Executing all transactions related to NUCEE operations
Processing, monitoring, and disbursing award payments
Engaging with NUCEE faculty and staff as well as student organization leaders to arrange the above responsibilities
Engaging with student organization leaders, which are frequently changing, on all matters relating to budgets, expense approval, and payment. Students require careful oversight by professional staff on such matters.
Acting as liaison between student organization leaders and Northeastern University officials on financial and budgetary matters
Onboarding (hiring and setting up sponsored accounts) and managing the timesheets and payroll for NUCEE student workers including, but not limited to the IDEA CEO
Reporting to and interacting with all NUCEE staff on budget matters
Administrative Support for Meetings and Events
Managing the scheduling of time and space
Planning and arranging event components such as room layouts and technology requirements
Ordering food and beverages
Ordering marketing and event materials
Collecting participant registration for major NUCEE or University-wide events
Be knowledge-point for day-of support for major, University-wide events. (1-2x per semester)
Engaging with NUCEE faculty and staff as well as student organization leaders to arrange the above responsibilities

Budget & Events Operations Specialist will work closely with NUCEE staff such as Mosaic and VMN leadership alongside entrepreneurship partners across the University and report to the Associate Vice President of Entrepreneurship.
QUALIFICATIONS
Required
Two years of relevant experience in event management
Two years of relevant experience in detailed budgeting and expense reconciliation
Strong verbal and written communication skills
Clear evidence of good teamwork capabilities
Commitment to record keeping and tracking
Excellent organizational skills and ability to track multiple moving parts
Superior multi-tasking skills with the ability to respond to various requests and tasks simultaneously
Proactive and with strong follow through skills
Strong interpersonal skills for building relationships with internal (student, staff, and faculty) and external (consultant and vendor) populations
Preferred, but not required:
Experience with Concur and Banner
