Job Description: Basic Function and Responsibility:
Reporting to the Assistant Vice President of Academic Affairs and College Transitions, the College Transitions program Manager oversees operations of the Office of College Transitions and also serves as the transfer lead for Oakton. The Manager assists the AVP in the development, planning, implementation, and tracking of institution-wide participation in university-college transitions partnerships and related activities. College transitions include university articulation and partnership agreements, as well as the acceptance and transfer of courses, programs, pathways, and credentials earned prior to entering Oakton as well as the articulation and transfer of courses, programs, pathways and credentials earned at Oakton and transfer to bachelor's programs. The Manager serves as the primary relationship manager of transfer college representatives and will collaborate with Student Affairs to facilitate student services to help promote smooth transitions into and out of Oakton.
Characteristic Duties and Responsibilities:
1. With the Assistant Vice President for Academic Affairs, establish, cultivate, and nurture relationships with transfer college and university representatives for the purpose of creating and managing transition agreements and initiatives.
2. Manage external relationships that enable Student Affairs and academic departments to provide on-campus transfer fairs and visits; on-site admission events; and smooth functioning of Oakton's participation in the Illinois Articulation Initiative. Compile, analyze, and utilize transfer and assessment data to strengthen and improve transfer support programs and services.
3. Manage the academic aspects of Oakton's articulation systems which include but are not limited to Transferology, the Transfer Evaluation system, iTransfer, Oakton's data warehouse, and the iTransfer/IAI course submission process, including some aspects of Form 13 management, the Oakton transfer web presence, and the student systems as they relate to transitioning into and out of Oakton.
4. Represent Academic Affairs and College Transitions in various internal and external educational and community groups and committees to represent Oakton and promote successful student transitions.
5. Partner with academic chairs/coordinators and faculty in the development of academic pathways that help to operationalize formalized agreements with transfer institutions. Develop practical tools for students to use to participate in university partnerships.
6. Develop, maintain, and update publications and web content related to articulation guides, 2+2 transfer agreements, informational brochures, etc., for prospective transfer students, staff, faculty, and administrators.
7. Collaborate with the College Relations Office and the Enrollment Management Office to plan and coordinate annual and ad hoc communications to the many public communities with whom this office interacts, particularly in the messaging that affects transitions.
8. Manage the College Transitions budget as it relates to transfer expenditures. Assist the AVP in overall budget management and oversight.
9. Track and processes formal agreements with universities and community organizations, developing annual plans for renewals and partnership adjustments.
10. Oversee Credit for Prior learning processes, making sure that all needed reviews and approvals are obtained and that student records are properly updated.
11. Promote unconditional positive regard and model enthusiasm, courtesy, and professionalism when dealing with students, staff, faculty, and community members.
12. Perform other job related duties as assigned.
Supervision Received:
- Administrative supervision is received from the Assistant Vice President for Academic Affairs and College Transitions.
Supervision Exercised:
- Functional supervision is provided for the Department Assistant.
Job Requirements:Qualifications and Working Conditions:
1. Master's Degree required, preferably in college student personnel, higher education administration, counseling, or related field, or an equivalent combination of training and experience from which comparable knowledge and abilities can be acquired is required.
2. Three years of experience with coordinating and disseminating transfer information and transfer institutional data for use by advisors and students.
3. One year of experience serving as a liaison with four-year institutions for the purpose of exchanging curricular information related to the transfer function process or serving as the primary contact with four-year institutions for advising animation.
4. A high level of interpersonal and communication skills are required. Must be able to develop and conduct presentations and explain policies with sensitivity and tact to a wide variety of audiences.
5. Demonstrated ability to establish and develop productive and collegial relationships with students, staff and managers and build effective teams.
6. Exceptional organizational and time management skills. Demonstrated ability to plan, coordinate, prioritize, and effectively execute multiple initiatives and meet established deadlines.
7. Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit an adequate level of respect to fellow employees and the College community at large.
8. Ability to analyze situations, identify solutions, present recommendations, and anticipate issues and consequences of decisions and actions.
Physical Demands:
Mobility to move from building to building on-campus and to visit off-campus entities. Work is performed in a general office environment and sedentary in nature. Little or no exposure to adverse working conditions.
Additional Information:Schedule: Monday - Friday, 8:15am - 5:00pm
Salary: $59,443
Based on the needs of the college and with Administrator approval, some positions at the college may have remote or hybrid schedule options available. Please note, that during the 65 working day probationary period, employees are required to report to campus.
