The IU Office of Business Partnerships (OBP) was formed in 2019 to bring greater consistency to, and achieve greater impact from, the university's relationships with businesses. The office's goal is to offer a holistic and coordinated approach to lead to stronger relationships, more opportunities for students and faculty, and greater financial support for all of IU's priorities.
OBP works in close collaboration with schools, units and university leadership across all of IU's campuses. This office is the front door for industry partners seeking to cultivate strategic relationships with our faculty, researchers and students.
The Vice President for Research Office at Indiana University is responsible for research development, research compliance, and research administration. Working with university-wide offices, campus leaders, and deans, the Vice President for Research Office works to increase and diversify research and creative activities at IU, attract external funding for these activities, and develop public-private partnerships, technology transfer, graduate education, and intercampus research opportunities.
This position provides complex and comprehensive administrative support to the Office of Business Partnerships and Vice President for Research (VPR) Communications team. Prepares confidential documents, schedules appointments, manages calendars, prepares background materials and agendas, oversees travel arrangements, coordinates meetings, and fields calls and correspondence. Develops and maintains records, files, documents, and communications. Facilitates resolution of day-to-day issues that arise, and communicates issues to the AVP and Executive Director, Research Communications regarding their respective areas.
Department Specific Responsibilities:
Evaluates meeting requests to determine purpose and requirements, and schedules accordingly. Schedules all appointments, committees, conference calls and trips.
Determines availability or alternate representation.
Coordinates team members' calendars with various senior-level University administrators, alumni, faculty, staff and others external to the University, including state and national officials and external partners.
Gathers, prepares and assembles all pertinent background documents and materials for meetings to ensure that team members are fully prepared for all meetings.
Manages and oversees all travel arrangements for the AVP and Executive Director. Plans travel itineraries and arranges transportation, conference registrations, meals, and lodging reservations. Arranges for any necessary equipment. Prepares and submits appropriate forms and receipts for reimbursement.
Serves as liaison and resource person to high-level administrative offices across all campuses.
Researches and responds to internal and external inquiries, coordinates activities, exchanges information, and resolves problems and concerns.
Investigates requests for assistance.
Prepares reports for the AVP and the Executive Director's consideration and action.
Drafts and prepares routine and non-routine correspondence.
Proofreads documents for grammar, spelling and content.
Produces finished copy for distribution.
Handles confidential information with tact and discretion.
Establishes, organizes and maintains files for meetings, committees, and others for quick retrieval.
Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.
Organizes office operations and procedures, such as creating Word or Excel files, bookkeeping, and preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other office services.
Oversees opening, sorting, and routing of incoming mail, answers correspondence and prepares outgoing mail.
Purchases and maintains office supplies and equipment, as well as budget expense control.
May allocates tasks and assignments to lower-level appointed staff and monitors their performance.
May be part of a team to selects, and train other staff.
May work on office projects engaging others to collaborate and accountable to see through to completion.
May perform other duties related to maintaining an internal website and/or working with social media.
High school diploma or GED

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
