Will provide overall administrative support to key personnel on Partners for Wildlife project and at The Raptor Center. Is responsible for managing project communication, meeting planning and logistics, data collection, document preparation and management, procurement, budget tracking, and scheduling.
ADMINISTRATIVE SUPPORT 65% - Schedule meetings for project director, faculty and staff - Establish and maintain physical & electronic records, forms and databases - Act as project contact via email and phone. Direct and prioritize incoming requests for information. - Prepare and edit correspondence, reports and forms - Document preparation including creation, printing, copying, collating, scanning - Maintain office equipment (TRC) - Coordinate support of computers and peripherals - Assist with travel arrangements for staff and guests - Assist Program Manager with project management activities - Assist project faculty and staff as needed
- Monitor, engage and update the program's private online discussion group - Other projects as assigned
FINANCE 20% - Assist with expense reimbursements for staff and non0employees via the Chrome River process
- Procurement of office and event supplies, including space rental and catering - Reconcile purchasing card transactions twice monthly
- Set up suppliers for purchases and Contracts for Professional Services
- Create financial service contracts and maintain related invoices - Educate staff on University of Minnesota travel and financial policies, work as liaison with finance staff
EVENT/PROGRAM SUPPORT 15% - Prepare material for meetings/events - Provide logistical support for programs and events - Establish and update program/event budgets - Reserve transportation, classrooms, meeting space - Create and edit program documents - Set up conference calls and webinars
Salary Range: $18.67 to $28.45/hour

REQUIRED QUALIFICATIONS: - High School Diploma/GED and four years of related office and administrative experience - General knowledge and understanding of office operations and procedures - Experience planning and scheduling meetings - Experience prioritizing multiple assignments and managing deadlines simultaneously, demonstrating the ability to be flexible and dependable under pressure - Experience drafting & editing business correspondence, demonstrating advanced writing skills (e.g. formatting, proper composition, grammar, punctuation, spelling, etc.) - Experience organizing office documents, databases, and file systems (e.g. establish and maintain accurate physical & electronic records, forms, and databases) - Possesses advanced customer service and oral communication skills - Working knowledge of Microsoft Office (e.g. Word, PowerPoint, Excel) - Ability to work independently and effectively with and through others
PREFERRED QUALIFICATIONS: - Administrative experience with UMN systems (scheduling, calendar management, financial, UMCal, UMConnect, UMContent) - Experience processing reimbursement and other financial documents, demonstrating attention to detail, (e.g. accurate calculations, account strings) - Proficiency with Microsoft Word, Excel, and PowerPoint - Experience planning events or workshops to include arranging travel/lodging for participantsand event logistics - Proven ability to be forward thinking and initiate action to move projects forward - Ability to effectively anticipate project needs and initiate action to move work forward
