ADMINISTRATIVE ASSISTANT 2 , MIT Libraries , to provide direct, high-level administrative support to a member of the leadership team. Responsibilities include monitoring monthly departmental and other expenditures in SAP; basic forecasting and analysis; gathering, generating, and monitoring custom reports; maintaining supplies; arranging reimbursements, assisting with invoice/transaction processing and reconciling accounts; arranging travel and processing expense reports; maintaining documentation, wikis, LibGuides, and other websites; performing information searches; file maintenance; coordinating and assessing facilities, equipment, and space needs and liaising with vendors; providing move support; providing coverage for administrative team members during absences; assisting with logistics for events/meetings, preparing presentation materials, and troubleshooting and supporting basic technology; schedule and calendar support; and other duties as required. May assist with hiring/onboarding/training of staff; direct the work of students/temporary assistants; and participate on committees.
Job Requirements REQUIRED : high school diploma or its equivalent; three years' direct/related experience; advanced-level proficiency with GoogleDocs, Word, Excel, PowerPoint, and Outlook and comfort learning additional programs/systems; strong organizational, analytical, communication, and problem-solving skills; and keen attention to detail. Must be able to exercise initiative, independent judgment, and discretion; work with minimal supervision; manage and complete competing priorities/tasks/projects on time in a dynamic, fast-paced environment; work effectively with a diverse group of people; transport catering, equipment, and other items weighing up to 25lbs; and travel between points on campus, sometimes ascending stairs. PREFERRED : associate's/bachelor's degree; experience working with SAP/Concur; familiarity with social media applications; general technical skills with AV, laptops, projectors, Bluetooth, wireless add-ons, etc.; work experience in a customer service, academic, or research library environment; and familiarity with MIT and its administrative departments/systems.
