Provides administrative support to the Office of Community-Based Learning. Supervises car and bike rentals for students, faculty, and staff engaging in off-campus learning and serving activities. Assists in the administration of GivePulse, an online interactive database of volunteer and organizational opportunities for students, faculty, and staff.

Essential Functions:

• Oversee CBL’s transportation system that serves the entire university. Update the transportation website in coordination with ITS. Coordinate sign ups, rentals, pickups, and drop-offs of cars and bikes.

• Serve as the primary University contact with Enterprise Rent-A-Car.

• Maintain the Transportation Hub at the CBL office.

• Assist in the implementation, administration, and maintenance of GivePulse across campus.

• Work with the Assistant Director of CBL to increase student use of and involvement in GivePulse.

• Open and distribute mail, comply with requests for information, forms, etc.  Provide verbal and/or written responses to inquiries from students, parents, the public, employees, vendors, etc., regarding a variety of questions.

• Assist administrators and faculty members with word processing, e-mail and other questions and problems.   

• Complete forms and documents.  Prepare reports, presentations, mailings, etc. (includes using word processing, electronic mail, desktop publishing, dictation, transcription, etc.), and/or modify, maintain, or create spreadsheets and databases for analyzing or managing data.  May perform calculations and computations, including basic statistical and/or data analysis and account reconciliation.  Reviews reports or budgets and compares to standards; identifies and documents variances.

• Assist those in the office by notifying pertinent individuals of deadlines and coordinating meetings, class and/or room schedules.  May prepare and draft correspondence on behalf of others, prepare documents or reports and/or research administrative issues and provides analysis or summary.

• Prepare and type highly confidential materials relating to budgets, personnel issues, and business initiatives. 

• Develop and coordinate office processes.  Maintain departmental files and records, monitor budgets, and maintain websites.  Order books, desk copies and supplies. 

• Coordinate searches for new hires. 

• Schedule functions and coordinate refreshments or food where necessary. Organize events, planning and organizing conference and group meetings, and arranging for travel and hotel accommodations for group visitors. 

• Prioritize, organize and conduct prescribed phases of projects such as mailings, production of proposals/reports/presentations from start to completion.  Generally, requires coordinating activities of several people and/or departments.

• Other related duties as assigned.

Minimum Qualifications:

High school diploma required; Associate’s degree preferred.  Minimum of three years of relevant experience required as well as aptitude and experience using personal computers and the Internet.  Excellent typing skills required.  Knowledge of or ability to learn a variety of software programs, especially Microsoft Word, Excel, FrontPage and Colleague is essential.  Ability to multi-task, excellent organizational skills, and strong interpersonal skills are required.  Demonstrated organizational skills and ability to manage multiple priorities.  Excellent proofreading, grammar and spelling skills.  Demonstrated ability to handle confidential and sensitive information.  Previous experience in an academic setting preferred.

Physical Requirements:

• Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.

• Grasping: Applying pressure to an object with the fingers and palm.

• Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

• Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.

• Standing: Remaining upright on the feet, particularly for sustained periods of time.

• Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to position. This factor is important if it occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles.

Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

Work Schedule: This is a 10 month, part-time position with partial benefits. The schedule will be Monday - Friday 25 hours a week as determined with the supervisor.
