The Administrative Assistant is part of the Student Access Services Department at Vanderbilt University and is a key individual responsible for maintaining day-to-day functions of the office and coordinating proctored exams as in compliance with the ADAAA and Section 504. This position functions half time performing administrative duties and half time supporting the proctoring center. Reporting directly to the Director of Student Access Services, the Administrative Assistant will collaborate with faculty, students, parents, and the SAS team to facilitate efficient and effective operations for the team.
Student Access Services provides reasonable accommodations to students when a physical, environmental, or attitudinal barrier exists. Students with disabilities connect with SAS each semester to receive any necessary accommodations; most academic accommodations include testing accommodations such as extended time, distraction reduced settings, and use of technologies on exams.
Duties and Responsibilities
Manage Student Access incoming emails. Respond or distribute as appropriate.
Manage calendars for the Student Access Team including scheduling of student appointments and meetings with campus partners.
Coordinate logistical arrangements for meetings including space reservations, catering (if required), audio/visual needs, and equipment set up. Rescheduling locations as meetings move and proper notification for meeting attendees.
Responsible for travel arrangements for the Student Access Team including airline and hotel reservations, ground transportation arrangements, and expense reports.
Ensure the Student Access Team has the required office supplies, materials, and any additional required items to be successful in the office; scheduling university resources for repairs or maintenance as needed.
Proctoring Center Support
Assists the Testing Coordinator in management of the Proctoring Center. This includes, but is not limited to oversight of testing accommodations, scheduling exams, and preparing exams for the following day.
Builds and maintains a professional relationship with all university faculty to arrange testing accommodations, implement specific course requests, and ensure integrity of the exam.
Assists in the development, implementation and monitoring of procedures and protocols for the testing center in accordance to the ADAAA and Section 504.
Maintains testing module within AIM database.
