Passages Charter School serves students from kindergarten through eighth grade, with a history and emphasis on the needs of immigrant and refugee students. Passages offers a tailored educational program focused on high academic standards and instruction based on students' individual needs.
Basic Job Function:
The Director of Operations will be responsible for matters of school administration that do not directly relate to instruction or student behavior. This position will take on a variety of responsibilities that will ensure that operations run efficiently and effectively.
Responsibilities of the Director of School Operations will include but are not limited to:
Budget & Finance
Ensure adherence to school’s fiscal policy and procedures; participate in annual financial audit process by providing documentation as needed to auditors
Manage school purchasing process by placing orders via AHS procedures and tracking delivery and maintaining inventory
Oversee campus preparations for start of new school year by ordering furniture, equipment, and classroom supplies, and materials
Coordinate new hire onboarding processing with Asian Human Services Human Resources Department
Oversee reimbursement and submission of claims with ISBE and Food Service Provider for all food services
Provide oversight for the operational component of the annual school audit at the campus level
Ensure the maintenance of campus facilities by managing custodial personnel and third- party contracts for trash removal, recycling, and snow removal
Coordinate and oversee the school’s transportation services
Support in oversight of the planning and execution of school special events (i.e. staff professional development, report card night, field trips, family/parent events, etc.).
Oversee enrollment process including management of student recruitment and enrollment processes, the development of the new student enrollment packet and maintaining all lottery records.
Maintain and support technology inventory
Troubleshoot technology concerns
Other duties as assigned by the principal
Ensure that the school is adhering to all local compliance and reporting requirements, as per calendars and guidelines provided by Chicago Public Schools
Provide oversight of the planning and execution of school special events, such as field trips, parent/teacher conferences
Manage the process and communication for family engagement (i.e. all call system and school calendar)
Management and Leadership
Organize and revise school processes to allow the school operate at maximum efficiency
Actively serve on the school’s administration team
Strong organizational skills
At least 1 – 2 years of operations management experience in a fast-paced, entrepreneurial environment, preferably in a school setting
Demonstrated passion for and commitment to the Passages mission and educational model
Preferred charter school experience
Physical Requirements and Working Environment:
Regularly required to: sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 20 pounds.
