1.Route phone calls, direct visitors, provide information. 2.Maintain spreadsheets to track all budget expenses including faculty travel and development funds, learn and use e-Procurement purchasing system, process reimbursements for dept faculty in I-expense system, keep records for monthly credit card statements for the department/process paperwork each month. 3.Maintain and schedule itineraries during recruitment for visiting candidates, including interview schedules, presentation space, hotel reservations, transportation, and reimbursements for out of pocket expenses. Track all dept expenses for reimbursement from the college recruitment funds. 4.Assist department chair with confidential information for Promotion & Tenure packets, meet mandated deadlines throughout the process. See procedures from Provost office. 5.Build and maintain departmental personnel files; assist new faculty with information necessary to gain ID card, CheckMarq access, building access/tour, new office set up, etc. 6.Build and maintain Schedule of Classes for each semester in CheckMarq/CLSS system (work on approved list provided by Exec Assoc Dean). 7.Coordinate departmental meetings; secure room, catering, agendas, etc. 8.Anticipate and maintain office supply needs using preferred vendors, & maintain department faculty memberships and subscriptions. 9.Prepare classroom materials for faculty to include syllabi, handouts, and confidential quizzes and exams. 10.Assist in coordinating dept visits for prospective students and their families when visiting campus, set up appts with faculty in the student's area of interest, help at college Info Sessions each semester. 11.Prepare routine correspondence and coordinate large mailings to include large mail & email merges. 12.Create helpdesk tickets for copier maintenance, and work orders for facilities as needed 13.Coordinate summer moves; faculty moving out and new hires moving in – schedule facilities to move, paint, clean, etc. Also order furniture and supplies as needed for these assignments. 14.Maintain DS470 Adjunct office space (supplies & copier needs) – rotating schedule with other depts 15.Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills, and Abilities:
High School diploma
Two years related experience required.
Must possess excellent customer service skills, flexibility, prioritization and organizational skills.
Knowledge and use of Oracle-based budget and Peoplesoft course scheduling systems.
Ability to organize and maintain manual and electronic filing systems.
Intermediate knowledge of Microsoft Word, Excel, Outlook and calendar systems.
Ability to access created networked files.
Ability to maintain confidentiality.
