The Program Assistant is a member of a fast-paced, customer service-oriented team in the Professional Education (PPE) unit at the Harvard Graduate School of Education (HGSE), which serves more than ten thousand professionals in early childhood, K-12, and higher education around the world each year through a diverse portfolio of professional learning offerings. The Program Assistant works collaboratively with Program Coordinators, and under the direction of PPE Portfolio Directors and the Assistant Director of Program Operations, to develop and successfully deliver an annual portfolio of professional education programs and offerings. The Program Assistant reports to the Assistant Director of Program Operations. Primary Responsibilities include:
Ensures an outstanding experience for the participants and faculty of our residential and online programs through excellent customer service
Anticipates participants' logistical needs and responds to participant inquiries by telephone and email
Collaborates regularly with colleagues in PPE Admissions, Finance, and others in the HGSE and Harvard community to ensure efficient administrative processes
Delegates work to interns, working collaboratively with the Program Coordinator to onboard, train, and support the full team while offering guidance as necessary and ensuring satisfactory completion of assigned tasks
Assists with the development of and coordinates the dissemination of program materials and other resources
Organizes and confirms logistical details such as program space and participant transportation
Populates websites with academic and logistical content for all assigned programs
Supports webinars for online courses and blended in-person programs
Serves as a point of contact during programs, from registration to closing, actively supporting participants on-site and online
Coordinates and oversees some special events as needed
Assists with special projects as necessary

College background or 2+ years working in a professional environment; strong written and verbal communication skills; related program/project/event coordination experience; experience using MS Office, specifically basic Excel, Word (including mail merge), and PowerPoint. Must be able to work overtime hours in the mornings, evenings and on weekends as required for program delivery, predominately during the summer. Due to our rigorous program schedule, we are generally not able to approve planned time off during our busy operational period from May to mid-August.Must have the physical ability to lift and move materials and furniture, up to 20 lbs. Demonstrated resourcefulness and the ability to manage multiple competing priorities in a fast-paced environment while maintaining a positive outlook. Strong communication skills and the ability to develop and nourish working relationships with colleagues inside and outside of HGSE. Proven ability to work independently and as part of a team. Attention to detail and the ability to build websites and use survey tools; comfort with manipulating data on a spreadsheet and importing or uploading data from Excel. Willingness and interest to contribute to organizational learning and a commitment to enthusiastically support the overall activity of the unit. Familiarity with Harvard and/or the education sector preferred. Ability to work in an open office environment. Fluency in a second language is a plus.
