Provide support for the annual and periodic reviews of all Office of the Vice Provost for Research (OVPR) research centers, institutes, and museums (CIM); coordinate the preparation and submission of CIM annual reports and presentations; administer CIM advisory committee appointments; create and maintain all related records and data. Provide support for the search, screen and selection process of CIM directors; handle logistics for all aspects including meetings, travel, agendas, and interview schedules. Manage the collection and maintenance of complex records, data, and electronic files such as the establishment of research centers, budget meetings, fiscal review and oversight committee appointments and memberships, director appointments, etc. Serve as liaison between OVPR administrative staff, especially the Vice Provost for Research and Associate Vice Provosts (AVPs), and nineteen or more OVPR centers, institutes, and museums. Review and maintain center information on research.iu.edu. Facilitate resolution of day-to-day issues that arise; research and respond to internal and external inquiries, exchange information, and resolve problems.
Position includes front desk duties such as answering and screening phone calls, greeting and assisting visitors, and answering inquiries or referring to appropriate office or individual.
REQUIRED: Bachelor's degree and one year of office experience including or supplemented by project planning and implementation experience.
Efficient in Microsoft Office (Word, Excel, Outlook) with knowledge of computers, word processing, and spreadsheet software.
Strong interpersonal and organizational skills and attention to detail. Excellent, professional communication skills. Strong problem-solving skills and the ability to work with minimal supervision and guidance. Able to conceptualize and organize projects throughout the planning process. Ability to complete detail-oriented projects and manage multiple tasks with a high level of accuracy.
Two years of IU experience. Proficiency in OrgPlus.
Working Conditions/Physical Demands:
Ability to work with constant interruptions and ability to multitask and prioritize. Must be able to see, hear, speak, read, write, type and manipulate equipment.
The position requires sitting at a computer, reading a computer monitor for long periods of time. Must transport and move moderate weight of office supplies and equipment.
