The Registration/Event Manager assists the Vice President of Exhibitions and Events in managing the registration system, assists with event logistics, operations and processes as assigned. Note that 60% of this position is registration management and 40% is event logistics, operations and processes. Leading up to the annual trade show, registration management accounts for 80% of the position's time.
Registration Management including but not limited to:
Work directly with registration vendor and the IAEE accounting and information technology departments to develop and implement logistical procedures for registration at all IAEE events.
Assist in the design/layout of the on-site registration areas.
Communicate and submit instructions to all vendors as necessary. Ensure proper utilization of services/product from set-up to vendor performance review.
Coordinate equipment and supplies necessary to support on-site registration processes, including business services and temporary staff.
Create registration forms.
Create text for registration-related items, including tickets, listings, confirmation letters and other specific functions.
Interface with registration company, IAEE’s Accounting and Information Technology Departments to supervise advance registration process, including reports, trouble shooting, database entry/updates, accounting and other relevant issues.
Maintain information and data on current and historical events for planning purposes.
Provide customer service support for the end user registration experience to IAEE Members and Non-Members
Supervise VIP, Press and other “special segment” registrations on an advance and on-site basis.
Supervise, in conjunction with the CFO, on-site registration processes.
Respond to all requests for information regarding specific events.
Manages CEIR Predict registration
Event Information Management including but not limited to:
Web site content management.
Registration & website for all events
Develop and gather information for the pre-show promotional brochures and on-site show program. Assist Marketing Department with production, as needed.
Compilation and proofing for event marketing/promotional materials.
Provide customized registration reports to other IAEE Departments as requested
Program/event schedule database management
Assist the IAEE Accounting and Information Technology Departments with registration data integration set up and management.
Logistical and Operations
Provides assistance including, but not limited to:
Housing logistics, both in house and in coordination with a third-party housing company
Assist with staffing issues to include schedules, uniforms/badges and travel arrangements.
Optional events – golf, community service events, fundraisers
Coordinate efforts and customer service for VIP/Hosted Buyer Programs.
In-bound and out-bound shipping of all association related materials to IAEE events.
Food & Beverage design, planning, and logistics
Education and event experience design, planning, and logistics
Coordinate brand experience activities within IAEE Events
Emerging event technology implementation
Temporary event staffing
Post event billing and account reconciliation
CEIR Golf events management of registration and logistics
Assists with providing information for budget and ensures the accurate tracking of expenses for assigned areas.
Assists the Education Department with administrative support for webinars and the CEM program, including but not limited to correspondence, entering information into the database, and website maintenance and management.
Assists with event sponsorship fulfillment and reporting
Travel to event destinations for the purpose of site selection, pre-event planning and on-site management.
Assists with details for all boards and VIPs attending events.
Other duties as assigned.
BACKGROUND REQUIREMENTS OF INCUMBENT:
Bachelor’s degree required, or four years equivalent experience in event management, communications or education.
2-3 years’ experience in event or exhibition management or education program development. Association experience highly desirable.
1-2 years demonstrated experience in registration
High level of organizational ability.
Demonstrated excellence in customer service skills.
Excellent speaking and writing skills.
Comfortable with using, and the ability to learn, new technologies
Great interpersonal skills.
Excellent computer literacy.
Ability to handle confidential information.
Ability to handle stress and seasonal high work load.
Knowledge of sales techniques
While performing the duties required of the Event Manager, there will be a requirement to sit, use hands and fingers, handle and feel objects, tools or controls, talk and hear

This position is supervised by the Vice President of Exhibitions and Events.
This position is located in Dallas. Applicants must currently reside in the DFW area. There is no relocation assistance available.
