The Law School’s Office of Student Affairs supports law students in the areas of community and professional development, advising on support and standards, and execution of key student record, registration, and exam administration processes. The Student Data Specialist reports to the Registrar and Director of Student Affairs to perform a range of functions relating to both individual and aggregate student records, and serves as a liaison to other Law School departments to facilitate efficient and accurate data transfer between different data management systems. The role also supports exam administration, bar certification, and other key Student Affairs processes.
The Law School serves a diverse and varied group of internal and external constituents, and the Student Data Specialist will need to work effectively across these communities.
Student Data Request Coordination (35%) Prepare and process routine and complex student data requests, including but not limited to letters of good standing, graduation and bar certifications, notices of Dean’s List, Book Award, Order of the Coif and other honors, class ranks, etc. Route, scan, file, and retrieve current and historic student records in keeping with applicable student privacy standards Review and respond to student data requests or other routine inquiries via the central departmental account firstname.lastname@example.org Process alumni requests for historic transcripts, dual degree transcripts, and other requests relating to alumni student files
Aggregate Data Functions (30%) Run queries in PeopleSoft, Data Warehouse, and other University systems Support Registrar in fulfillment of student data requests related to mandated reporting and strategic decision-making by Law School administration Adjust query data for end-user review Accurately and efficiently merge student data from multiple sources Support data needs for key processes including course registration; rank, quartile, and honors calculation; and exam administration Clearly and accurately update records relating to key Student Affairs processes, including academic probation, exam accommodations, bar passage, etc. Develop and implement systems (such as Google Forms survey) to accurately collect and disseminate key student data
Student Data Liaison (20%) Serve as liaison on data transfer processes between Student Affairs and other Law School departments, including Admissions, Career Center, Curriculum, Dean’s Office, and Advancement Research and make recommendations to Student Affairs and other departments on student data best practices and support implementation of new or improved systems and processes Serve as the Law School liaison with all state bar examiners to coordinate student practice and bar application certification, including tracking deadlines and certification requirements for each jurisdiction
Student Affairs Departmental Support (15%) Provide support for key Student Affairs functions, including exam administration, variance exam processing, registration and enrollment, and major programming events, including Orientation and Commencement
High School diploma/GED and four years related office experience
Experience using relational databases (such as SQL, Oracle, RDMS)
Experience working with spreadsheets, entering data, and building reports
Intermediate MS Office proficiency
Strong organizational skills with accuracy and attention to detail
Proven ability to manage multiple projects simultaneously and meet deadlines
Excellent written, verbal, interpersonal, and customer service skills
Team player with the ability to work independently and exercise appropriate judgment
Experience working with diverse constituents
Professional comportment and demeanor
Ability to lift and transport boxes of files (roughly 30 lbs), as well as moving tables, chairs, and other materials connected to exam administration
Experience working in higher education administration
Experience with Law School registration processes, rules, and policies
