The College of Business and Economics at West Virginia University is seeking applications for the position of Events Coordinator. This position will be responsible for providing coordinator and front-line support for the B&E Events Office which produces events on behalf of the College. Duties will involve the c oordination, planning and execution of logistical details and services to meet the goals set forth for the College's events.
In order to be successful in this position, the ideal candidate will:
Provide logistical information to internal and external guests and other administrators concerning all events hosted by the Dean and/or the College.
Coordinate, plan and execute logistical event details, which will include scheduling reservations for event space, food and beverage, transportation, sleeping rooms, photographer, entertainment and audio/visual equipment.
Negotiate with vendors for services related to assigned events and monitoring services to ensure contract details are fulfilled.
Provide on-site stage management of the events, including leading the work of event staff before and during events.
Monitor event planning checklist, follows established event timeline originated by supervisor, to ensure all event details are completed within the parameters of the event timeline to ensure are deadlines are met.
Communicate verbally, electronically and through written correspondence with College faculty, staff and group sponsors regarding the planning and management of event details to ensure the flawless execution of tasks.
Work with the Dean's Office staff to regularly review accuracy of master event list for college online calendar.
Maintain detailed records of event details, activities and schedules by entering event information in the event management system
Maintain budget expenditures and records for each function/event in event management system, ensuring invoices are received and close out the event when all information is entered and the associated bills paid.
Supervise support activities by student workers and event ambassadors.
Work Hours: 37.5 Hours per week
Length of Assignment: 12 months
Pay Grade: 15
An Associate's degree in business management, hospitality management, marketing or a related field is required, a Bachelor's degree is preferred
Two (2) years of experience involving event planning and support is required.
Experience coordinating large-scale events is preferred.
Computer experience with Microsoft Office, InDesign, database experience
Demonstrated knowledge of event planning and management
Ability to work under and meet strict deadlines
Effective time management skills with the ability to prioritize and manage multiple projects simultaneously
Demonstrated Budget management skills.
Excellent verbal and written communication skills.
Ability to work non-traditional hours, sometimes on short notice, as events typically occur during normal work day and week, as well as nights, weekends and holidays. Some occasional overnight travel may be required.
Ability to attend various events and ceremonies on and off-campus to provide support to the Events Team.
Valid Driver's License
State of WV Procurement card is required and must be maintained upon employment.
