ADMINISTRATIVE ASSISTANT II, Center for Transportation & Logistics (CTL) (part-time, 20 hrs/wk.), to perform complex and diverse duties in support of the director. Will assist the director with the day-to-day operations of the center and provide administrative support and advice about center activities. Responsibilities include answering the director's phone, greeting/directing visitors, handling walk-in and faculty and student inquiries, and assisting others when it involves help from the headquarters office; drafting and editing a variety of documents; editing/updating website using Drupal; managing social networking presence; creating/editing spreadsheets; collecting/analyzing data and creating reports; scheduling appointments and meetings; arranging luncheons and assisting other department staff during events; sharing responsibility for headquarters' reception area and the director's office; and handling special projects and other duties as needed. May book hotels, schedule flights, and assist with getting passport updates; perform occasional basic research using library and online sources; and communicate with CTL's five SCALE centers (Spain, Colombia, Malaysia, Luxembourg and China).
REQUIRED: high school diploma (bachelor's degree preferred); minimum of three years' professional administrative support experience; exceptional organizational, writing, interpersonal, and customer service skills; proficiency with Adobe Illustrator and Microsoft Office, familiarity with website editing, and ability and willingness to learn new programs; aptitude for analysis, working with data, and multitasking; ability to interact effectively across all levels; good judgment, tact, and discretion with sensitive/confidential information; ability to work independently and as a team member; attention to detail; and ability to take ownership for work, follow up on action items, and deliver high quality results within deadlines. The preferred work schedule is Monday through Friday, 9:00 A.M. to 1:00 P.M., with the ability to occasionally work longer hours as needed. Early morning or late night work may be required at times.
