As a member of a fast-paced, customer service oriented team, the Program Assistant works collaboratively with Program Coordinators and under the direction of PPE Portfolio Directors to develop and successfully deliver an annual portfolio of professional education programs, products, and services. The Program Assistant reports to the Assistant Director of Program Operations. Responsible for ensuring an outstanding participant experience for customers of PPE. Provides excellent customer service to all constituents, supporting program participants and faculty on-site and online. Works to anticipate participants' logistical needs and responds to participant inquiries by telephone and email. Collaborates regularly with colleagues in PPE Admissions and Finance and others in the HGSE and Harvard community to ensure efficient administrative processes. Delegates work to interns, working collaboratively with the Program Coordinator to onboard, train, and support the full team while offering guidance as necessary and ensuring satisfactory completion of assigned tasks.
Responsible for development and dissemination of program materials, organizing and confirming logistical details such as program space and participant transportation, and coordinating other program resources. Populates websites with academic and logistical content for assigned programs and online courses. Coordinates and staffs program-related webinars. Staffs programs from registration to closing, actively supporting participants on-site and online. Coordinates and oversees some special events. Assists in arranging media resources for programs, online courses, and webinars. Carries out financial transactions within Harvard systems and with approved vendors. Assists with special projects as necessary.

College background or 2+ years working in a professional environment; related program/project/event coordination experience; experience using MS Office, specifically basic Excel, Word (including mail merge), and PowerPoint.
Must be able to work overtime hours in the mornings, evenings and on weekends as required for program delivery, predominately during the summer. Due to our rigorous program schedule, we are generally not able to approve planned time off during our busy operational period from May to mid-August. Must have the physical ability to lift and move materials and furniture, up to 20 lbs.

Demonstrated resourcefulness and the ability to manage multiple competing priorities in a fast-paced environment while maintaining a positive outlook. Proven ability to work independently and as part of a team. Attention to detail and the ability to build websites and use survey tools; comfort with manipulating data on a spreadsheet and importing or uploading data from Excel. Willingness and interest to contribute to organizational learning and a commitment to enthusiastically support the overall activity of the unit. Familiarity with Harvard and/or the education sector preferred. Ability to work in an open office environment. Fluency in a second language is a plus.
